Full Capacity Sharing for Each Reservation
This option allows you to create multiple reservations in the same function room, in the "waiting list" or "provisional" status, each up to the full capacity of the room setup.
For example:
You have Hall A, which can hold 150 people in "theatre" setup.
With this setting, you can create two (or more) separate reservations for 150 people in that layout.
This setup is ideal for hotels or conference centers that regularly manage multiple inquiries for the same date or use shared options for event holds.
How to set it up?
1. Go to: Settings > System > System Settings
2. Under “Validate function room capacity for reservation state:”, uncheck the boxes for the statuses you want to allow sharing in.
3. Then navigate to: Menu > Locations > Location detail > Function room setup, and check the box "Shared capacity" for the relevant layout.
Shared Capacity Across Multiple Reservations (All Statuses)
This setting goes a step further – it allows you to share one function room across multiple reservations in any status, as long as the combined number of participants doesn’t exceed the room’s total capacity.
For example:
Two different events are happening in separate meeting rooms, but both groups are having lunch in the same restaurant.
If the total number of guests doesn’t exceed the restaurant's capacity, the system allows both reservations to use the space – even if one is confirmed and the other is still pending... or both are confirmed.
Perfect for venues that need flexibility and want to make the most of shared spaces during complex events.
How to set it up?
Go to: Menu > Locations > Location detail > Function room setup, and check the box "Shared capacity" for the relevant layout.
