Starting with version 1.7.0, Confero introduces a powerful new feature that makes managing multi-purpose event spaces easier than ever. If your venue includes function rooms that can be physically connected or separated (e.g. using sliding partitions), you can now represent and manage them in the system as flexible, combinable spaces.
What does the feature do? |
You can now define a main (parent) function room that includes one or more basic (child) function rooms. This structure allows the system to automatically block overlapping bookings and prevent scheduling conflicts.
Here’s how it works:
If the parent function room is booked, none of its parts can be booked separately (and vice versa).
Booking a single child function room will automatically block all combinations that include that room.
This helps eliminate confusing overlaps or double bookings where rooms share movable walls or dividers.
Who is this for?
This feature is perfect for hotels and venues that manage flexible room layouts:
Conference centers with large rooms that can be divided into smaller sections.
Hotels with connecting salons or training rooms.
Any venue that wants full control over how rooms are combined, booked, and managed.
Real-world example:
Let’s say you have a large hall called “ABC” that can be divided in multiple ways. You can now set it up in Confero like this:
Individual function rooms: A, B, C
Combinations: AB, BC
Whole function room: ABC
The system will automatically determine what combinations are still available. For example:
Booking room A will block the possibility of booking AB and ABC.
Booking the entire ABC room will block all its parts and combinations from being reserved elsewhere.
This makes planning events, trainings, and large conferences much more reliable and efficient.
How to setup this feature? |
In the Locations menu, go to the detail of the location where the function rooms are located. First, create all the individual function rooms that physically exist (e.g. A, B, C).
There is no limit to the number of times the child rooms can be used in various combinations.
Important: All physical (child) rooms must be created first before they can be used in combinations.
Create the basic (child) rooms
Click Add function room in the top right corner, fill in the necessary details, and save. Ignore the Add child room section at this stage.
Repeat this step for all function rooms you want to include in future combinations.
Create the combined (parent) rooms
Again, go to Add function room and enter the name/details of the new combined room.
Use the Add button to select which existing function rooms to include in the combination from the dropdown list.
As you add function rooms, you’ll see them listed under Child rooms, so you can instantly check which function rooms are being grouped.
Function rooms created from multiple child rooms will be automatically marked as Parent in the system and can be easily identified by the green checkmark in the Parent column of your function room list.
Just like any other function room, Parent rooms allow you to:
Add function room setups (e.g. Theatre, Classroom, Cabaret etc.)
Set different room hire fees (e.g. Full-day, Half-day, custom pricing etc.)
Already using Confero? Here’s how to switch
- Go to Locations, click into the location detail, and find the function room you want to edit.
- If you’ve already been using a combined room as a basic room (as there was no other option), you don’t need to delete it.
- Simply click the Edit (pencil) icon and assign the appropriate child rooms in the popup window.
- Once saved, the function room will automatically be marked as a Parent room.
- All function room setups and room hire fees will be preserved — no need to recreate them.
If you’ve been working around the lack of this feature using technical closures or dummy bookings, we recommend setting up proper Parent rooms instead using the steps above. New function room setups and room hire fees will have to be set as well.
Viewing Parent function rooms in the overviews
By default, only child rooms are visible in the monthly and daily views of the booking calendar.
To display Parent rooms as well, simply tick the checkbox Parent function rooms.
Parent function room bookings will automatically block their associated child.
Creating reservations for parent rooms
Enable the Parent function rooms view using the checkbox in the daily or monthly overview.
Click into the time grid next to the Parent room name to create a new booking for the combined room.
If you need to reschedule already created reservation, simply drag the booking within the Parent function room row.
Parent bookings cannot be dragged between child rooms — only within the Parent row itself.
